Microsoft Office 365 October Updates

For October, the team at Microsoft has some great new updates for 365 users including Outlook, Microsoft Defender Antivirus, Microsoft Edge, and so much more!
Let’s have a look at the Microsoft 365 October updates:

Workspaces in Outlook

We know some of us are still working from home, although many organisations around the world are implementing a soft opening phase. Supporting a business during the soft opening phase is incredibly important for admins to ensure safety protocols are adhered to.
With the new Workspaces feature in Outlook, users are now able to book physical workspaces with set capacity and time limits by creating a Workspace.

“A workspace in this context refers to a physical location where employees can work. It can be made of many desks or a single one. The same policy that applies for a conference room also applies to a workspace. The key difference between the two is that a workspace has a capacity of how many people can be in there at a given time and a minimum booking duration requirement.”

If anyone tries to book a workspace that’s already filled, they will receive an automatic decline. This ensures limitations on how many people can be in a workspace at a given time.
Only admins can set time limits and the capacity for workspaces, which will help manage how many people are in the office at the same time. This could help provide a safer experience for employees.

How to book a workspace:

1. Navigate to the Outlook calendar.

2. Create a new event.

3. Follow the usual workflow of booking a conference room via Room Finder.

4. Under Type, choose Workspace instead of Conference room.

5. Once a workspace is selected, send the invite.

The user will get an auto-generated email confirming the booking. See the below example:

Forms in the Office App

Last year, Microsoft announced the public preview of the new Office mobile app. Now users are able to use Forms within the Office app to create, share and analyse their forms in a centralised space.

How to use Forms:

1. Navigate to the Office app, then select Actions.

2. Within Actions, users can create and send out a form by clicking on Create a form.

Users are able to view the number of respondents and other relevant insights directly on the home page.

To get started with this update, either:
  • Update the Office app
  • Install the Office app

Microsoft Defender Antivirus

We know it’s crucial for small and medium-sized businesses to defend themselves against cyber attacks. Now IT teams have a central space in the Microsoft 365 admin centre to see how Microsoft Defender Antivirus is protecting their Windows 10 devices from threats.
Admins are able to view threat and device status reports, investigate threats and take action to eliminate these threats.

Note

These new features apply to all Windows 10 devices that are enrolled in Microsoft Intune with a Microsoft 365 Business Premium subscription plan.

Microsoft Edge

PDFs

Support for table of contents within Microsoft Edge is a top request from 365 users using the native PDF handler. Users can now easily navigate through their PDFs by clicking on the links within the table of contents.

Default Browser

iOS 14 users can now set Microsoft Edge as their default browser.

Visio Data Visualizer - Excel

Those of you who like to use Visio flow charts will be happy to know that Data Visualizer now has a dedicated button available in the Excel ribbon.
Users can now create diagrams like basic flow charts, cross-functional flow charts and organisation charts directly in Excel.
